ViBO Admin Scripts
1. First Inquiry Script – Walk-in or Phone Call
Goal: build trust + understand the child before pitching anything.
PHONE CALL:
Hi, this is ___ from Vibo Music School, thanks so much for calling! How can I help you today?
IN-PERSON:
How are you today? How may I help you?
After they explain
That’s wonderful. Can I ask a couple quick questions so I can guide you better?
Key questions:
- Are the lessons for you or your child? How old is your child?
- Have they taken music lessons before?
- What instrument are you thinking about?
Affirmation
That sounds like a great age to start, and it’s totally okay if they’re brand new. For students younger than 5 years old, mention lessons could be seen as expensive baby sitting, we would recommend starting at 5.
Let me quickly explain how we usually get started.
2. First Month Special Explanation Script
For new students, we usually recommend starting with our first month special, which is a 4-lesson package at a discounted price.
Show them the general brochure and point to the First Month Special price.
It’s a low-pressure way for your child to meet the teacher, explore the instrument, and see if it’s a good fit.
During the lessons, the teacher focuses on making it fun and comfortable — especially for beginners — and afterwards we can recommend the best next steps.
There’s no long-term commitment at this stage.
(Parents LOVE hearing “no pressure” and “no commitment.”)
If the time is right, give them a tour of the classrooms.
3. Scheduling Script (Clear & Calm)
We offer lessons on weekdays and weekends, depending on the instrument and teacher.
Do you have a general time range that works best for your family?
If unsure:
That’s totally okay — many families start flexible and adjust once school routines settle.
4. Tuition & Pricing Script (Non-Awkward)
Tuition depends on lesson length and frequency, but most families start with weekly lessons, which works best for progress and consistency.
After the First Month Speical, I’ll walk you through the options clearly and help you choose what fits your schedule and budget.
(Notice: no numbers dumped too early.)
5. Nervous Parent Script (“My child is shy / young / unfocused”)
That’s very common — we work with a lot of shy and first-time students.
Our teachers are really experienced at helping kids feel comfortable and confident at their own pace.
Many students warm up within the first few lessons once they feel safe and supported.
6. Why Your School Script (Short & Honest)
One thing families really like about ViBO is that our teachers are active musicians and educators, but they’re also very patient and kid-focused.
We care a lot about building a positive experience, not just teaching notes.
7. Close with Confidence (Not a Hard Sell)
Would you like me to check lesson availability for you, or would you prefer to think it over and follow up later?
If customers want to sign up right away, please have them fill out the First Month Special form, and charge them.
If customers want to sign up later on their own, please show them our website from the brochure, and tell them they can sign up the first month special from there.

POST FIRST-MONTH CHECK-IN SCRIPT
Hi ___, how are you?
___ just finished their last lesson of the first-month special, and I wanted to check in with you.
We’ve really enjoyed having ___ with us this month, and the teacher shared that they’ve been doing really well.
I wanted to see how you and ___ have been feeling about the lessons so far.
(Pause. Let them talk.)
If the response is positive
That’s great to hear!
The next step would be transitioning into our regular lesson program, which keeps the same teacher and weekly time so ___ can continue building momentum. (Grab a brochure) Here’s our tuition rate. We charge by the month to your credit card. Explain the policies. Get their credit card info and enter to teachworks.
Would you like me to go ahead and set that up for you starting next week?
